These Terms of Service govern the use of Clinvoo by clinics, doctors, healthcare assistants, and patients. By accessing or using the platform, you agree to be bound by these Terms.
1. Service Description & Clinical Products
Clinvoo is a software-as-a-service (SaaS) platform that provides cloud-based clinic practice management, appointment scheduling, and administrative documentation software. Our platform facilitates:
- Digital practice management, appointment scheduling, and real-time public queue tracking.
- Dual-input clinical documentation: supporting both direct manual keyboard entry and ambient audio dictation.
- Digital E-Prescriptions & medication schedules (dosages, strengths, administration routes, and frequency timings).
- Laboratory blood test and diagnostic investigation requisitions.
- Radiology scan and medical imaging request vouchers (X-Ray, CT scan, MRI, Ultrasound).
- Doctor clinical guidance, dietary recommendations, lifestyle instructions, and follow-up directives.
- Patient communication tools and appointment modification capabilities.
Clinvoo provides technical and administrative infrastructure only; it is not a medical clinic, pharmacy, diagnostic laboratory, imaging center, or healthcare provider, and is not a certified medical device.
Data Ownership & Exportability
Clinics and doctors own all patient, scheduling, and clinical records they input. Clinics can easily export their structured database at any time if they choose to terminate their use of the platform.
2. AI Tools, Speech-to-Text & Physician Authorship
Clinvoo utilizes modern software tools and artificial intelligence to facilitate clinic workflow:
- Dual Input Modes: Doctors can enter patient records, diagnoses, and orders manually via keyboard or through ambient voice dictation.
- AI Clinical Scribe & Transcripts: Audio dictation is processed ephemerally in temporary memory to generate a written text transcript. That written transcript serves as the reference record within the session from which AI drafts clinical suggestions.
- Strict Draft Status: All AI-generated suggestions, extracted diagnoses, and medication drafts are unverified administrative drafts. No record, voucher, or prescription is saved or issued until the attending physician explicitly reviews, edits, and confirms it.
- Sole Physician Authorship: The attending doctor remains the sole legal author of every medical decision, e-prescription, lab test, and scan requisition. Automated concentration badges, generic drug suggestions, and contraindication flags are informational reference aids only and never substitute for physician judgment.
3. Responsibilities & Consent
Doctors & Clinics
- Informed Recording Consent: The clinic and attending doctor are solely responsible for securing all necessary verbal or written patient consents prior to initiating ambient audio recording in the examination room.
- Clinical Verification: The doctor holds sole, non-delegable responsibility for verifying the accuracy of all diagnoses, prescription dosages, and diagnostic orders before saving or issuing them. Clinvoo is not liable for errors or omissions in AI-generated drafts.
- Assistant Account Accountability: Clinics may create accounts for their staff. The clinic/doctor assumes full legal responsibility for all data entered and actions taken by assistant accounts authorized under their profile.
- Compliance: Doctors must ensure their practice complies with applicable medical laws, regulations, and patient consent guidelines in Egypt.
Patients
Patients must provide accurate names and contact information during booking and are responsible for consulting directly with their attending physician regarding medical advice.
4. Independent Pharmacies, Laboratories & Diagnostic Centers
Clinvoo facilitates clinical document generation and optional connection to fulfillment networks:
- Optional Connection: Clinvoo helps connect patients with independent partner pharmacies or diagnostic facilities near them only when the patient explicitly requests it.
- No Medical Dispensing or Testing: Clinvoo does not sell, prepare, or dispense medications, nor does it collect blood samples or perform radiological imaging. Pharmacies, labs, and imaging centers operate independently and are solely responsible for prescription fulfillment, specimen testing, and scan execution.
- Monetization Disclosure: Partner fulfillment entities may pay transaction fees to Clinvoo when a patient chooses to order through the network, allowing us to provide software infrastructure to clinics.
5. Communication Consent & WhatsApp Notifications
- Consent: Users consent to receive transactional notifications (booking confirmation, queue updates, etc.) related to their appointments.
- The One-Time WhatsApp Template: When the doctor generates an e-prescription or clinical voucher, Clinvoo sends a single automated notification to the patient's WhatsApp with their voucher link.
- Neglect Clause: If the patient ignores or neglects this single prompt, no follow-ups are sent. Clinvoo does not engage in marketing spam or unsolicited follow-ups.
6. No Medical Advice
Clinvoo does not practice medicine or provide medical diagnosis, treatment recommendations, or clinical advice. All medical decisions and treatments are conducted solely by licensed medical practitioners under their professional license.
7. Limitation of Liability
To the maximum extent permitted by law, Clinvoo is not liable for:
- Medical outcomes, diagnoses, adverse drug events, or clinical mistakes made by healthcare practitioners.
- Inaccuracies, errors, or omissions in AI-generated transcription drafts or clinical suggestions.
- Prescription filling mistakes, drug substitutions, pricing issues, or delivery delays by independent pharmacies.
- Laboratory test discrepancies, diagnostic errors, or radiological scan interpretations.
- Interruptions of service due to third-party outages (such as WhatsApp APIs, hosting providers, or database platforms).
8. Account Termination & Governing Law
Clinvoo reserves the right to suspend accounts that abuse the platform, enter fraudulent records, or violate these Terms. These Terms are governed and construed in accordance with the laws of Egypt.
